Thank you for being a vendor at the Ogden Pride Festival! Putting Ogden Pride together is a huge collaborative effort, and it wouldn’t be possible without your help. Please familiarize yourself with the important vendor information below at your earliest convenience.
Vendor Location Assignments
Please find your specific location assignment on our Vendor Map and Directory page.
You should have verified all spelling and details were correct at the Vendor Check-in meeting. If we still made an error, please email sean.childers-gray@ogdenpride.org directly.
Vendor Arrival and Departure Times
- Booth setup: Booth setup may start at 8 am and must be complete by 10:30 am.
- Booth takedown: The earliest you may begin taking down your booth is 7:30 pm. We will have entertainment until 8 pm. We encourage you to operate your booth until 8 pm. All booths must be removed from the property with nothing left behind by 9:30 pm at the latest.
Vendor Parking and Check In
- Booths inside the Ogden Amphitheater (Zone A): Park in the parking lot south of the amphitheater that is accessible via 26th street, and check in at the south entrance. No vendor parking on 25th street between Kiesel and Washington because this parking is for festival attendees. If you park on 25th street, you will not be permitted to enter from the front entrance because that entrance will be closed until 11 a.m. No matter where you park, you are required to enter through the south entrance.
- Booths in the municipal park (Zone B): There will be a pull up unload zone on Grant Ave. You must check in at the west vendor entrance on Grant Ave. If you cannot find a load spot on Grant Ave, please try on-street parking in the surrounding area. We recommend 26th street or the parking lot south of the amphitheater. No vendor parking on 25th street between Grant and Washington because this parking is for festival attendees. If you park on 25th street, you will not be permitted to enter from the front entrance because that entrance will be closed until 11 a.m. No matter where you park, you are required to enter through the west entrance. On-street parking is limited, so be prepared to walk if you do not arrive early. We recommend that you bring a cart to help transport your belongings. Ogden Pride cannot supply carts for assistance due to the cost.
- Food trucks (Zone C): Come to the corner of Grant Ave and 25th Street.
- ADA-compliant parking spots will be in the parking lot south of the Zone A Entrance and amphitheater, as well as along the front on 25th between Kiesel and Washington.
Vendor Information Booths
Before 10:30 am: If you have any issues finding your vendor space or need any assistance, please visit the vendor check-in booth at your load-in zone entrance.
After 10:30 am: If you need assistance please connect with your Volunteer Zone Leader/Liaison.
Electricity
Electric outlets are possibly available in the amphitheater and in the park; however, Ogden City cannot guarantee that any specific outlet is in working order due to flooding and misuse. So they recommend that you bring a 100-foot extension cord. Please note that these outlets are only 10 amps; therefore, please try to avoid overloading them.
Food trucks/vendors who require a food handlers permit must bring their own generator to ensure consistent power and proper food temperatures.
Bathrooms
Bathrooms are located on both sides of the main stage inside the amphitheater, as well as on the west side of the park.
We are an inclusive organization and do not police our festival attendees in their needs for public accommodations no matter their identity. Please respect everyone at the festival.
Ogden City Single-day Special Event License
We submit and purchasing this license for you. This is $5 from your vendor registration fee. No need to do anything further to obtain, and you do not need proof you are under the Special Event License.
Sales Tax
All vendors participating in special events are required to obtain a Temporary Sales Tax License and Special Return from the Utah State Tax Commission. The license/return is only good for the event listed on the form.
If you are selling food, drinks, or merchandise at the festival, you are required to pay Utah sales tax. Your contact information has been provided to the Utah State Tax Commission, and they will send you the Temporary Sales Tax License form. We are REQUIRED to obtain and provide the following information:
The individual, business or promoter requesting the temporary license needs to supply the Utah State Tax Commission Special Event unit the following information:
- name, address, and telephone number;
- Social Security Number (SSN), Employer Identification Number (EIN), Utah Sales tax number or driver’s license with date of birth; or if you’ve previously been assigned a Special Event Account Number (SSE);
- what product you are selling;
- name of the event or sale;
- location of the event or sale; and
- beginning and ending date of the event or sale.
The licensing departments of local governments may contact the Tax Commission before issuing business licenses to ensure all vendors selling within their jurisdiction have a valid sales tax number. You can obtain the license by contacting the Special Events Unit in the Salt Lake Office at 801-297-6303 or at 1-800-662-4335, ext. 6303.
Important Vendor Rules
- Booth setup: The festival is taking place on Sunday, August 6, 2023, at the Ogden Amphitheater from 11 am to 8 pm. Booth setup may start at 8 am and must be complete by 10:30 am.
- Booth takedown: The earliest you may begin taking down your booth is 7:30 pm. We will have entertainment until 8 pm, so feel free to continue operating your booth until then. All booths must be removed from the property with nothing left behind by 9:30 pm at the latest.
- Booths must be staffed and operating at all times. Those who start taking down their booth before 7 pm will not be allowed to be an Ogden Pride vendor in the future.
- All vendors must check in before setting up their booth. When you check in, we will give you your participant stickers and number.
- Vendors provide their own canopies, tables, and chairs.
- All canopies or tents, on all legs/posts, must be secured down. Ogden City does not allow spikes or stakes. You are permitted to use sandbags, water barrels, or another type of weight, but it must meet a minimum 45lb weight equivalent. Vendors who do not bring weights will not be allowed to use their canopy. Ogden Pride cannot supply weights.
- Electric power is available, but Ogden City cannot guarantee that any specific outlet is in working order due to flooding and misuse, so they recommend that you bring a 100-foot extension cord. Please note that these outlets are only 10 amps; therefore, please try to avoid overloading them.
- Food vendors must meet all Weber/Morgan Health District requirements. Vendors are not allowed to dump or accidentally drip grease, hot combustibles, briquettes, or waste water on the grass or pavement. Hot cooking equipment must not be placed on the lawn or pavement. Spaces must be cleaned up with nothing left behind by 9:30 p.m.
- Ogden Pride reserves the right to reject a vendor registration for any reason.
- Booths may not be shared (one booth per organization) unless explicit permission has been given by Ogden Pride.
- Only vendors that have registered and paid may use the booth space. No last-minute substitutions without explicit permission of festival organizers.
- Specific booth placement is not guaranteed. Ogden Pride reserves the right to place booths in spaces that best fit the needs of the festival.
- Smoking or vaping is not permitted on festival grounds, which includes the amphitheater and the municipal park to the west.
- This is a family-friendly event, so vendors are not allowed to sell or display adult sex toys or products promoting illegal drugs or marijuana. In addition, behavior and exhibits that are obscene, sexually explicit, pornographic, or indecent are not permitted.
- Vendors must comply with all Utah state laws/regulations as well as instructions from Ogden Pride agents, safety personnel, and festival staff.
- Ogden Pride reserves the right to establish COVID-19 safety protocols based on CDC, state, and local recommendations the day of the festival.
- Ogden Pride reserves the right to adjust reservations and policies at their discretion or as needed in order to manage the festival.
- Applicant agrees to indemnify, hold harmless, and defend against any action against Ogden Pride, Inc., City of Ogden, all sponsoring organizations and their officers, directors, employees, and agents from and against all liabilities whatsoever arising out of its participation in the Ogden Pride Festival.
- Entrant agrees to comply with all festival policies for the safe conduct of the Ogden Pride Festival and related activities. Failure to comply may cause denial of entry, early expulsion, and/or jeopardize future festival participation.
Weather Plan
If there is a chance of rain and thunderstorms, we will be monitoring the weather and taking necessary precautions during the festival. Just a reminder that you are required to secure your canopies with some type of weight. Ogden City does not permit stakes or spikes.
Yellow (Inclement weather may be approaching the festival grounds.)
- Lightning within 20 miles or winds of 25 mph or greater
- An announcement will be made to inform everyone of the impending threat.
- All canopies will have to be taken down.
- You may evacuate the festival grounds in a calm and orderly fashion. Seek shelter indoors, such as in a substantial building or your vehicle. Do not seek shelter under a tree.
Red (Inclement weather poses great threat to the festival grounds.)
- Lightning within 7 miles or winds of 40 mph or greater
- An announcement will be made to inform everyone of the impending threat.
- All canopies will have to be taken down.
- All festival activity will be suspended.
- Everyone will need to evacuate the festival grounds in a calm and orderly fashion. Seek shelter indoors, such as in a substantial building or your vehicle. Do not seek shelter under a tree.
- The Ogden Amphitheater entrances will be secured. The park will not be secured because there is not a fence in that area.
After the Weather Event
We will notify all festival attendees when it’s safe to re-enter the festival grounds via the Ogden Pride Facebook page. You may also check back after the lightning or thunder has stopped for 30 continuous minutes.
